Administrative Assistant - 22 Hours per Week

Salary: £17,908.72 - £19,409.16 (Pro Rata)

 Purpose of the Job

 Ensure stocks of Personal Protective Equipment, stationery and healthcare supplies are kept up to date and reorder when necessary from the most suitable supplier. Maintain a database of PPE supplies to ensure services are fully equipped with the necessary equipment.

To provide administrative support to ensure the effective and efficient running of the Trust. To support employees of the Trust through a variety of tasks related to the organisation.  The duties include communication via telephone or email ensuring these are carried out accurately and delivered with high quality in a timely manner.

Key Tasks and Responsibilities

 Receive, welcome, and attend to callers at reception, ensuring that the appropriate person is alerted.

Using the appropriate technology and equipment; produce, record, and distribute highly confidential and sensitive typed and scanned documents to a high standard of accuracy.  To ensure that client information recorded is updated within the required timeframe, the post holder will be expected to prioritise work and have the ability to meet deadlines. Where appropriate contribute to the design and development of both computerised and manual information recording and retrieval systems ensuring compliance with all data protection legislation and the effective provision of information.

To provide general clerical support, including basic correspondence, file maintenance, scanning and photocopying.

Provide administrative support for Managers within a range of meetings, ensuring notes or minutes are recorded accurately.

Receive, welcome, and attend to callers at reception, ensuring that the appropriate person is alerted.

Provide a direct contact and messaging service between service users, service managers and team leaders.

Receiving incoming calls in a sensitive and calm manner and in respect of unavailable service managers/team leaders ensure that service users receive appropriate information.

Develop and maintain effective working relationships with support staff, managers, and colleagues to ensure that varying workload pressures are effectively managed.

To undertake other relevant duties as required by Admin Manager.

General

Operate within The Glenmore Trust’s policies and procedures including Health and Safety, Finance and Auditing, and Confidentiality.

Undertake staff training and development as required.

Attend team and other meetings as required.

To carry out any other duties as requested by the organization.

Promote and be responsible for a healthy and safe environment by following policies and procedures, complying with the Health and Safety at Work Act 1974.

To play an active role in the continued expansion and reputation of The Glenmore Trust.
